I future an even better place to add queries is the actual Sage 50 forum, and not the Sage 50 Group. As many more eyes scan the forum as opposed to the Group Page. Instead of going to the Group Tab on the BI Community. Select the Forum Tab.

The Extend Formula to Rows is a Standard Add in, like the auto emailing etc I have attached some more information on this add inSage Intelligence Add in Extend Formula to Used Rows

Below is where this add-in is located. It is better practice to add this formula to your container as a field. In the case where you do not have the 'Connector' module, then use the add-in suggested below.

Thanks Ruth and Craig!  I did try the Macro option and got it to work.  I'll be doing several variations on the same theme, so will try the Text route too.  Thanks to both of you.

Another option, which I find easier because I am no good with Macros is to calculate the month field in the source date sheet, and then this will become available as a field to use in the Report. I used the Text function to calculate the Month Name from a Date =TEXT(AP2,"MMMM") where AP2 is the cell with the date in and "MMMM" will return the Month Name. You can then use the Extend Formula to Used Rows Add in to make sure that this formula is always extended no matter how many lines of of source data are in the sheet 1

Thanks Craig, I tried the Macro option and that work for me. It is strange that the Grouping by Month is not retained when you re-run the report in Excel.

Hi Suzy

This is one way to achieve the desired outcome:

Paste the macro below into a new module in the VBE (Alt + F11) and then call this macro from the Report Manager.

Sub GroupByMonth()
Range("C11").Select
Selection.Group Start:=True, End:=True, Periods:=Array(False, False, False, _
False, True, False, False)
End Sub

....where C11 is a cell within the 'Date' column of the pivot table and 'GroupByMonth' is the name of the macro called from the Report Manager when the report is run.

Try 'saving the source data with the file' and 'retaining number of fields set to automatic'
